Administrative & Personal Assistant (maternity cover)
Are you ready to embark on an extraordinary journey with one of the world's most innovative architects? Bjarke Ingels Group (BIG) is seeking a highly motivated and talented individual to join our team as an Administrative & Personal Assistant in a fixed term maternity cover.
This is a unique opportunity to work closely with a visionary leader, handling both professional and private matters, and contributing to the success of one of the most renowned architectural firms in the world.

Responsibilities:
  • Provide comprehensive support: As an Administrative & Personal Assistant, you will play a crucial role in managing professional and private affairs. This includes overseeing schedules, coordinating meetings, and ensuring effective communication between both internal and external stakeholders.
  • Manage travel arrangements: You will be responsible for booking flights, hotels, and transportation, both for business trips and personal travel. Your attention to detail and organizational skills will be essential in ensuring smooth and efficient travel experiences.
  • Handle confidential information: As a trusted confidante, you will maintain utmost discretion while handling sensitive and confidential information pertaining to both professional and personal matters.
  • Prioritize and manage tasks: BIG operates in a fast-paced environment, and you will be a key player in ensuring time is optimized effectively. You will need to prioritize tasks, anticipate needs, and proactively address any challenges that may arise.
  • Build relationships: You will serve as a liaison between the Founder, Chief of Staff and various stakeholders, including clients, partners, and team members. Your exceptional interpersonal skills will be instrumental in fostering positive relationships and representing both Bjarke Ingels and BIG with professionalism.
  • Oversee properties and assets: You will be responsible for helping to manage properties and other assets. This includes handling administrative tasks related to properties, coordinating maintenance and repairs, and ensuring everything is in order.
The ideal candidate:
  • You thrive in a dynamic environment and can effortlessly juggle multiple tasks and deadlines, while maintaining attention to detail and a sense of urgency.
  • You possess excellent written and verbal communication skills, enabling effective and professional correspondence. English and Danish fluently; knowledge of other languages is an advantage.
  • You understand the importance of maintaining confidentiality and handling sensitive information with the utmost care and discretion.
  • You have a proactive mindset, capable of identifying potential issues and finding solutions before they become problems.
  • You are adaptable and thrive in a fast-paced, ever-changing work environment. You can easily adjust your priorities and approach to meet the needs of a dynamic and demanding role.
  • You have a polished and professional demeanor, demonstrating tact, diplomacy, and excellent judgment in all situations.
